Salon Guild CRM, part of the Opti Flo ecosystem

These terms govern your use of Salon Guild CRM, provided by Opti Flo Apps Ltd (company number 17284323, registered office SIU Offices, 4-6 Greatorex Street, London, E1 5NF, United Kingdom). By signing up for or using Salon Guild CRM, you agree to these terms.
1. The service
Salon Guild CRM is a module bundle within the Opti Flo Connect platform, providing a branded website, client booking, a client portal, a CRM built for salon and beauty businesses, and, on eligible plans, AI Workforce features. It is currently available to businesses operating in the United Kingdom, including hair salons, beauty salons, spas, barbershops, and wellness studios.
Salon Guild CRM is a Guild CRM: an industry-specific product built and improved with input from the salons using it, through a community contribution and voting process described in our Guild Contribution and Governance Policy. Final decisions on what is built and shipped rest with Opti Flo Apps Ltd's product team.
2. Who can sign up
You must be at least 18 years old and have the authority to bind the business you're signing up on behalf of. You must provide accurate information at signup and keep your account details up to date.
3. Plans and pricing
Salon Guild CRM is offered on three tiers (Core, Pro, and Elite) at the prices shown on our pricing page at the time of signup. Pricing, included features, and seat limits for each tier are set out at salonguild.optiflo.app/pricing and may be updated from time to time; changes to your own subscription price will be notified to you in advance.
- Core includes the core CRM modules (contacts, pipeline, bookings, client portal, invoicing, communications), with no location add-on available.
- Pro additionally includes the Media module, GoHighLevel sync, and AI Workforce, plus the option to add further locations at the rate shown on the pricing page.
- Elite includes everything in Pro plus a concierge service layer (quarterly in-salon photoshoot, weekly 1:1 training, bonus salon management training). Elite is capacity-limited; if Elite is full when you sign up or attempt to upgrade, you will be offered a place on the waitlist and provisioned on Pro in the meantime.
Additional usage, such as Communications (phone numbers, SMS, calls, email beyond the included allowance) and AI credits beyond your plan's included amount, is billed at the rates shown on our pricing page.
4. Billing
Subscriptions are billed monthly in advance via Stripe. By subscribing, you authorise us to charge your payment method on a recurring basis until you cancel. VAT is not currently charged, as Opti Flo Apps Ltd is not yet VAT registered; this will be updated here and on invoices once registration is complete.
5. Cancellation and refunds
You may cancel your subscription at any time from your account settings. We offer a 30-day money-back guarantee from the date of your initial signup: if you're not satisfied within the first 30 days, contact support@optiflo.app to cancel, and we will delete your account and refund your payment in full. Outside this 30-day window, cancelling stops future billing but does not refund the current billing period; your access continues until the end of the period you've already paid for, after which your account and data are handled per our data retention practices described in the Privacy Policy. 6. Upgrading and downgrading
You may change your plan tier at any time from Settings, subject to Elite's capacity limit. Upgrades take effect immediately, with any price difference charged on a pro-rated basis. Downgrades take effect at your next billing cycle. You cannot downgrade to a tier whose limits (such as client portal seats) you currently exceed; you'll need to bring your account within the new tier's limits first.
7. Your responsibilities
You agree to:
- Use Salon Guild CRM only for lawful purposes and in a way that doesn't infringe anyone else's rights
- Keep your login credentials secure and notify us promptly of any unauthorised access
- Ensure you have a proper lawful basis and, where required, consent for any personal data you collect and process about your own clients through the platform
- Comply with applicable UK marketing and communications law (including PECR) when sending SMS or email to your clients through the platform, including honouring opt-outs and unsubscribe requests promptly
- Not attempt to reverse engineer, resell, or use the platform to build a directly competing product
- Comply with our Acceptable Use Policy
8. Client data and your responsibilities as a data controller
As set out in our Privacy Policy, when your clients use your Salon Guild CRM booking system, website, or portal, you are the data controller for their personal data and Opti Flo Apps Ltd is your processor. You are responsible for ensuring your own compliance with UK GDPR toward your clients. This includes having collected valid, opt-in consent before sending marketing SMS or email to a client, and making sure any unsubscribe or opt-out request is honoured. Salon Guild CRM provides opt-in capture at client signup and an unsubscribe link on outbound communications to support this, but the underlying legal responsibility is yours. 9. Intellectual property
Opti Flo Apps Ltd owns all rights in the Salon Guild CRM software, branding, and platform. You retain ownership of your own business data and your clients' data entered into the platform. Contributions submitted through the Guild contribution process may be reviewed, adapted, and incorporated into the product by Opti Flo Apps Ltd at its discretion; submitting a contribution does not entitle you to compensation, credit, or exclusive rights over how it's implemented.
10. Service availability
We aim to keep Salon Guild CRM available at all times but do not guarantee uninterrupted access. We may carry out planned maintenance, with notice where practical, and are not liable for downtime caused by circumstances outside our reasonable control.
11. Suspension and termination
We may suspend or terminate your account if you breach these terms, fail to pay amounts due, or use the platform in a way that risks harm to us, other users, or their clients. Where practical, we will give notice and an opportunity to resolve the issue first. On termination, your obligation to pay for services already provided remains, and data handling follows our Privacy Policy.
12. Liability
Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, or anything else that cannot lawfully be limited under English law. Subject to that, our total liability to you arising from your use of Salon Guild CRM is limited to the amount you've paid us in the 12 months before the claim arose. We are not liable for indirect or consequential losses, including loss of profit or loss of business opportunity.
13. Changes to these terms
We may update these terms from time to time. Material changes will be notified to you by email or in-platform notice, with a reasonable period before they take effect.
14. Governing law
These terms are governed by the laws of England and Wales, and any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.
